Team Members

Collaborate with your team by managing members and roles

Overview

QOC Cloud Console allows you to collaborate with team members by inviting them to your project. Each member can have specific roles and permissions to control what they can access and modify.

Plan Requirement

Team collaboration features are available on Pro and Enterprise plans. Free tier is limited to the project owner only.

Member Roles

QOC Cloud Console has three main roles:

Owner

The project creator with full control:

  • ✅ All Admin permissions
  • ✅ Transfer project ownership
  • ✅ Delete the project
  • ✅ Manage billing and subscription
  • ⚠️ Only one owner per project

Admin

Full administrative access except ownership:

  • ✅ Invite and remove members
  • ✅ Create and delete applications
  • ✅ Access database
  • ✅ Modify all settings
  • ✅ View billing information
  • ❌ Cannot transfer ownership
  • ❌ Cannot delete project

Member

Standard access with view and limited edit permissions:

  • ✅ View applications
  • ✅ View dashboard and analytics
  • ✅ Access database (read-only)
  • ✅ Create new applications
  • ⚠️ Edit only their own applications
  • ❌ Cannot invite/remove members
  • ❌ Cannot modify billing
  • ❌ Cannot delete applications created by others

Viewer

Read-only access to project resources:

  • ✅ View dashboard
  • ✅ View applications
  • ✅ View database (read-only)
  • ❌ No edit permissions
  • ❌ Cannot create resources

Inviting Team Members

Click Manage in the sidebar, then select Members.

Click Invite Member

Click the Invite Member button in the top right.

Enter Member Details

Fill in the invitation form:

  • Email Address: Member's email
  • Role: Select appropriate role (Admin, Member, or Viewer)
  • Message (optional): Personal invitation message

Send Invitation

Click Send Invitation. The member will receive an email with an invitation link.

Invitation Expiry

Invitation links expire after 7 days. You can resend the invitation from the members page if needed.

Managing Invitations

Pending Invitations

View all sent invitations that haven't been accepted yet:

  • Email: Invited user's email
  • Role: Assigned role
  • Sent Date: When invitation was sent
  • Expires: When invitation expires

Actions

For pending invitations, you can:

  • Resend: Send the invitation email again
  • Copy Link: Copy the invitation URL to share manually
  • Cancel: Revoke the invitation before acceptance

Managing Members

Member List

The members page displays all project members:

  • Name: Member's full name
  • Email: Email address
  • Role: Current role with badge indicator
  • Status: Active, Pending, or Suspended
  • Joined Date: When they accepted the invitation
  • Last Active: Most recent activity timestamp

Changing Member Roles

To change a member's role:

  1. Click the menu icon (⋮) next to the member
  2. Select Change Role
  3. Choose the new role
  4. Confirm the change

Permission Changes

Role changes take effect immediately. The member will be notified via email of the role change.

Removing Members

To remove a team member:

  1. Click the menu icon (⋮) next to the member
  2. Select Remove from Project
  3. Confirm the removal

The member will immediately lose access to the project and receive an email notification.

Resource Ownership

If a member created applications or other resources, consider reassigning ownership before removing them from the project.

Member Activity

Activity Log

Track what team members are doing:

Navigate to Manage > Audit to see the activity log with:

  • Action: What was done (created, updated, deleted)
  • Resource: What was affected (application, database, settings)
  • Member: Who performed the action
  • Timestamp: When it occurred
  • Details: Additional context

Filter the audit log by:

  • Member: Show only specific member's actions
  • Action Type: Filter by action (create, update, delete)
  • Date Range: Show activities within a time period
  • Resource Type: Filter by affected resource

Collaboration Features

Application Ownership

Each application has an owner (the creator). Owners can:

  • Edit all application settings
  • Regenerate credentials
  • Transfer ownership to another member
  • Delete the application

Other team members can:

  • View application details (if Member role or higher)
  • Use application credentials (if Member role or higher)
  • Cannot modify settings (unless Admin)

Shared Dashboard

All team members see the same project dashboard with:

  • Real-time usage metrics
  • Shared notifications
  • Collective activity feed
  • Project-wide analytics

Database Access

Database access levels by role:

  • Owner/Admin: Full read access, can run all SELECT queries
  • Member: Read access to specific tables based on permissions
  • Viewer: Read-only access to approved tables

Database Security

Write operations (INSERT, UPDATE, DELETE) are not available through the console for any role to maintain data integrity.

Transfer Project Ownership

The current owner can transfer the entire project to another member:

Click on project name, then Settings > Transfer Ownership.

Select New Owner

Choose from existing Admin members or enter an email to invite someone as owner.

Initiate Transfer

Click Initiate Transfer and enter your password.

New Owner Accepts

The new owner receives an email and must accept the transfer within 7 days.

Ownership Transfer

After transfer, you become an Admin. The new owner has full control including the ability to remove you from the project. This action cannot be undone.

Team Limits by Plan

Free

  • Members: 1 (owner only)
  • Invitations: N/A

Pro

  • Members: Up to 5
  • Invitations: Unlimited pending invitations

Enterprise

  • Members: Unlimited
  • Invitations: Unlimited
  • Advanced Features: Custom roles, SSO integration, advanced audit logs

Best Practices

Role Assignment

  • Start new members as Viewers or Members
  • Promote to Admin only when necessary
  • Limit number of Admins for security
  • Regularly review member roles

Security

  • Remove members who leave your organization immediately
  • Use specific roles, avoid making everyone Admin
  • Monitor the audit log for suspicious activity
  • Enable two-factor authentication (when available)

Communication

  • Add a message when inviting members
  • Notify team about role changes
  • Document who owns which resources
  • Set up external project communication channels
